Leadership of Administration Team
- Lead and support the Administration/Practice Management team, fostering a safe and productive work environment.
- Understand and manage all administration tasks, providing hands-on support as needed.
- Recruit, orient, train, and conduct performance reviews for new staff.
- Build a high-performing team through effective performance management.
- Implement efficient rosters to balance workloads and site needs.
- Communicate consistently and transparently with the team.
- Actively participate in Site Leadership and foster collaboration.
- Conduct monthly team meetings and encourage a participatory approach.
- Identify skill gaps and ensure staff training aligns with business goals.
- Ensure efficient patient admission, discharge, and outpatient appointment processes.
- Maximise utilisation of consultation rooms and optimise workflows.
- Ensure compliance with privacy principles and document requirements.
- Oversee billing processes, audits, and customer service.
- Facilitate smooth patient transitions through clear communication with wards/units.
- Oversee quality improvement, ACHS accreditation, VMO engagement, rostering, IT support, WHS compliance, training, and incident management.
- Business-related certificate or degree (e.g., Certificate IV in Front-line/Business Management) or equivalent experience (essential).
- 3–5 years in a similar role (desirable).
- Proven leadership, HR, and team development skills, including workload management, performance management, and training.
- Ability to lead innovation, change, and multi-disciplinary teams.
- Strong relationship-building skills with VMOs and stakeholders.
- Expertise in private health fund claiming, Medicare, and DVA processes.
- Knowledge of hospital management systems and advanced Microsoft Office skills.
- Adaptability to new technologies (e.g., Skype, Telehealth).
- Local IT troubleshooting experience (e.g., printers, telephones, Dictaphones).
- Strong verbal and written communication for sensitive issues and presentations.
- Proven ability to coordinate projects and achieve stakeholder satisfaction.
- Commitment to customer service and long-term relationship building.
- Understanding of private health fund billing.
