About the Role
Due to the recent expansion of services and clinicians at our Midland centre, we are seeking a Casual Administration Officer to support our growing team. This role is critical to ensuring safe management of patient information.
  
You will provide high-quality administration, secretarial, and reception support across our Surgical, Radiation Therapy, Oncology, and Haematology departments. Responsibilities include patient admissions and discharge, accurate appointment scheduling, billing, and timely processing of clinical documentation received through multiple channels (fax, email, post, Healthlink, and in-person).
  
This position reports to the Administration Manager and offers casual weekday shifts during business hours, with additional hours available.
  
Key Responsibilities
  • Welcoming patients and accurately collecting personal details
  • Scheduling appointments and triaging referrals across departments
  • Managing incoming documentation (dictations, letters, diagnostics, patient notes)
  • Answering calls and responding to enquiries professionally
  • Processing patient billing and balancing daily banking
  • Monitoring and maintaining patient administration pathways
  • Ensuring compliance with privacy and health information legislation
  • Maintaining accurate patient records across multiple systems  
About You
You’re a team player who enjoys stepping in to help wherever needed, gets things done, and takes pride in delivering accurate, timely work. You’re comfortable working independently but also thrive in a collaborative environment where everyone supports each other to achieve great outcomes for patients.
  
You have:
  • Previous experience in hospital or day procedure centre administration (highly desirable)
  • Proficiency with electronic practice management systems and Microsoft Office
  • Understanding of medical terminology and health insurance processes (Medicare, DVA, Private Health)
  • Ability to work autonomously and collaboratively in a fast-paced environment
  • Strong organisational skills and attention to detail to meet compliance standards
  • Effective communication and problem-solving skills when dealing with sensitive issues
