About the role
We are looking for an experienced, capable administrator who can step into a busy Day Hospital environment and take ownership from the outset.

This is not simply a task-based administration role. You will work closely with the Associate Charge Nurse Manager (ACNM) and wider clinical team to coordinate Day Hospital activity, manage patient and financial administration, and help ensure the service runs efficiently.

We need someone who can manage the detail while also thinking ahead, using initiative and identifying opportunities to improve how we work.
  
Key responsibilities
  • Working closely with the ACNM, nursing, pharmacy and administration teams, you will:
  • Coordinate Day Hospital treatment bookings, appointments and reviews.
  • Manage patient enquiries and ensure actions are followed through promptly.
  • Prepare treatment estimates and coordinate financial approvals.
  • Maintain accurate patient and treatment information and complete data audits.
  • Support Day Hospital capacity, workflow and patient flow.
  • Anticipate administrative requirements and identify potential issues before they impact the service.
  • Identify opportunities to improve administrative processes and ways of working.
  • Work collaboratively across clinical and administrative teams.
  • Provide professional, compassionate service to patients and their whānau.  
About you
We are looking for an experienced and mature administrator who brings sound judgement, initiative and a strong sense of ownership to their work.
  
You will be confident working independently, making decisions within the scope of your role and following issues through to resolution. Just as importantly, you will be able to look beyond the immediate task, understand the bigger picture and anticipate what needs to happen next.
  
You will bring:
  • Strong administration experience, ideally within healthcare or another complex, fast-paced environment.
  • Maturity, sound judgement and professionalism, particularly when dealing with sensitive information and challenging situations.
  • A demonstrated ability to use initiative, solve problems and take ownership.
  • The ability to think ahead, anticipate requirements and see the bigger picture.
  • Confidence identifying inefficiencies, risks or gaps and suggesting practical improvements.
  • Excellent organisational and time-management skills, with the ability to manage competing priorities without close supervision.
  • High attention to detail and confidence working with patient, financial and operational information.
  • Experience with invoicing, billing or financial administration.
  • Strong digital capability, including Microsoft 365, particularly Outlook, Word and Excel.
  • Clear, confident and professional written, telephone and face-to-face communication.
  • The ability to build effective working relationships across multidisciplinary teams.
  • An understanding of Māori tikanga and Te Tiriti o Waitangi.  
Previous healthcare administration experience is highly desirable.
  
This role will particularly suit an established administrator who enjoys responsibility, takes pride in getting things right and is confident contributing ideas about how a service can work better.
