Facilities Support Officer

We're looking for a Facilities Support Officer to join our growing Facilities team in a newly created role. This is an opportunity to build your career in a purpose-led organisation while helping ensure our healthcare facilities remain safe, compliant and operating efficiently.

About the Role
Reporting to the National Facilities Manager, you will provide day-to-day administrative support for maintenance and facilities operations across Icon's cancer care network. You will assist to coordinate preventive and reactive maintenance activities, liaise with contractors and suppliers, and help maintain accurate asset, compliance and maintenance records.

Working closely with facilities team members and key stakeholders, you'll play an important role in keeping maintenance activities organised, documented and progressing smoothly.

Key areas of responsibility include:
  • Preventive maintenance administration, including raising work orders, supporting quotation requests, assisting with service scheduling, and monitoring completion.
  • Liaising with contractors regarding attendance, service documentation, completion records and invoice submission.
  • Maintaining accurate records in MaintainX our internal system, including work order updates, attachments, notes, service reports, quotations, compliance certificates and invoices.
  • Assisting with asset register maintenance, including asset creation, amendments and decommissioning.
  • Maintaining contractor documentation, including licences, insurance records and compliance documentation.
  • Reviewing overdue work orders and escalate outstanding actions where required.
Whilst this is a newly created position, you'll be joining a high-performing team that has established strong facilities systems and processes, giving you the support and structure needed to hit the ground running.

About You
You are a proactive and highly organised individual who enjoys working with competing priorities, learning new systems and building positive working relationships. You have strong attention to detail, effective communication skills and a willingness to develop your knowledge within a facilities environment.
You'll ideally bring:
  • Strong organisational skills and the ability to prioritise tasks in a busy environment.
  • Confidence using computer systems, maintaining accurate records and working with data.
  • A proactive approach with a willingness to learn new processes, systems and industry requirements.
  • Strong attention to detail and a commitment to delivering accurate and reliable outcomes.
  • A collaborative mindset and the ability to build positive relationships with internal teams and external stakeholders.
