As an Australian-first Stereotactic Centre of Excellence, the Centre will deliver advanced radiation oncology treatments using state‑of‑the‑art technology. This facility creates a unique opportunity for clinicians, becoming the only health precinct in Australia to house and operate across 5D Clinics CyberKnife, Gamma Knife and Linear Accelerator platforms within a single integrated centre.
  
About the role:
Reporting to the Site Manager, the Administration Manager plays a pivotal role in delivering exceptional administrative services across the site. You will lead and support the administration team to ensure a high standard of service for patients, doctors, and clinical teams.
  
This is a hands-on, varied role that requires close collaboration across all disciplines and responsibility for the smooth day-to-day operation of the site. Key areas include people leadership, billing, data integrity, rostering, site coordination, training and development, and oversight of daily administrative activities.
This is a permanent, full-time position working 76 hours per fortnight, Monday to Friday

Key Responsibilities: 
  • Create a warm, safe, and welcoming environment for patients, doctors, team members, and visitors
  • Lead, supervise, and support the Administration team, including identifying training and development needs
  • Ensure efficient and coordinated patient scheduling and high-quality reception services
  • Support recruitment activities for the Administration team
  • Process Medicare and private billing accurately, ensuring compliance with legislative requirements
  • Maintain accurate patient records and uphold privacy and confidentiality standards
  • Contribute to accreditation and quality assurance processes
  • Implement practice changes and continuous improvement initiatives effectively
  • Manage resources in line with KPIs and operational targets, under the guidance of the Site Manager
  • Collaborate with site leaders to deliver high-quality, patient-centred care  
About You:
You are a motivated and customer-focused administration leader with a positive, professional approach. With strong presentation and interpersonal skills, you thrive in a busy healthcare environment and enjoy leading teams to deliver outstanding service outcomes.
  
You will take an integral role in managing daily administrative operations and may occasionally provide support across current and future sites. If you are passionate about leadership, service excellence, and continuous improvement, we would love to hear from you.

Skills & Experience 
  • Demonstrated experience leading a team in a patient- or customer-focused environment
  • Strong understanding of health administration within a high-care medical setting, including patient admissions and general practice administration
  • Ability to work autonomously and collaboratively, with strong planning and organisational skills
  • Proven ability to prioritise workloads and manage time effectively
  • Experience delivering training and development to maintain capability and engagement within teams
  • Strong relationship-building skills with patients, doctors, and key stakeholders
  • Excellent computer skills with a continuous improvement mindset
  • Knowledge of healthcare legislative and compliance requirements (desirable)
  • Qualifications or formal training in leadership or management (desirable)

5D Clinics operates Australia’s first dedicated private Stereotactic Radiosurgery (SRS) clinic, located in Claremont, Western Australia. For several years, this was the only private SRS centre of its kind in the country, delivering a six‑star patient experience using CyberKnife® technology.
With the addition of the new Melbourne (Cremorne) site, 5D Clinics now extends its leadership and expertise across multiple locations. Drawing on its established clinical, operational and commissioning experience, 5D Clinics provides specialist services in the implementation, planning and operation of CyberKnife® systems nationwide.
