Medical Administration Team Leader – Icon Cancer Centre Midland
We’re looking for a new team leader!
Join our existing Administration Manager, Medical Secretaries, Receptionists and Administration Officers as we support our valued patients and families receiving cancer treatments from our medical specialists, therapists and nursing teams.
- Team leader role that spans our multiple divisions (i.e., Day Hospital, Radiation Therapy Unit & Specialist Consulting Rooms)
- Monday – Friday role (No Weekends!)
- Training & Support from Administration Manager

What are we hoping to find in our new team leader?
- Practice management experience in a specialist setting – If you know your way around Practice Management Software (Gentu/Genie a huge plus!) and surgical/theatre bookings, we’d love to hear from you!
- A passion and aptitude to learn new processes, become the expert and a drive to teach and support others.
- Excellent computer skills and eye for continuous improvement.
- The enthusiasm to foster a supportive environment and see others flourish.
Key Responsibilities:
- Collaborating with the Administration Manager to ensure timely and coordinated patient appointment times and effective reception services.
- Provide supervision and oversight of the Administration team, providing ongoing training and support.
- Provide support or relieve in other roles within the team as required to ensure effective and efficient services for patients.
- Processing Medicare & private billing w/ correct MBS item numbers
- Gentu system use and administration: Book appointments, create patient records, book in procedures, generate invoicing etc
- Ensure accuracy in patient medical records and maintain privacy standards.
- Understanding of Medicare guidelines for accurate referral management and item number rulings.
- Oversee waiting rooms for day hospital and patient consults
- Encourage participatory team approach to service delivery seeking input and feedback from team members.
- Liaise with patients and their families in a friendly and compassionate manner.

Skills & Experience:
- Experience leading a team in a healthcare environment would be viewed favourably, but by no means essential.
- Experience in a practice management setting highly desired.
- High level of Practice Management software use experience (Gentu/Genie a bonus)
- Ability to work autonomously and effectively in a team environment and plan, coordinate and organise workloads to achieve quality patient service outcomes in a timely manner.
- Ability to prioritise and manage time effectively.
- Prior knowledge and experience in training and development programs ensuring adequate skill levels are maintained to meet operational needs, achieve strategic goals and engage team members.
- Proven ability to establish successful customer relationships with patients, doctors and other stakeholders by ensuring needs and expectations are understood and managed in a timely and effective manner.
