Reporting to the Administration Manager, you'll be responsible for providing high-quality secretarial and administrative support across a busy specialist practice. As a key point of contact for patients, carers, referrers and clinicians, you'll help ensure a seamless experience while supporting the smooth day-to-day operation of our clinics.
This role is ideal for someone who enjoys working in a fast-paced environment, can confidently manage competing priorities and takes pride in delivering exceptional customer service.
Key Responsibilities
- Welcome patients and provide a warm, professional first impression
- Schedule and coordinate appointments across specialist clinics
- Manage incoming phone calls and respond to enquiries efficiently and compassionately
- Prepare consulting rooms and support clinic operations
- Process patient billing, Medicare claims and private health insurance transactions
- Coordinate and monitor patient administration throughout their care journey
- Maintain accurate patient records and correspondence
- Liaise with patients, carers, referrers and healthcare professionals
- Support compliance with workplace health and safety requirements

To succeed in this role, you'll be highly organised, adaptable and able to maintain accuracy and professionalism in a busy clinical setting.
You'll bring:
- Previous Medical Secretary or Medical Reception experience, ideally within a specialist practice
- Experience with Medicare, DVA and Private Health Insurance billing processes
- Outstanding communication skills, both written and verbal
- Strong organisational skills and the ability to manage multiple priorities
- A professional, compassionate and patient-focused approach
- High attention to detail and accuracy
- Proficiency in Microsoft Office, including Word and Excel
- Confidence working with medical practice software and patient management systems
- A sound understanding of medical terminology
- A team-oriented attitude with a commitment to delivering exceptional service
