You don’t need to already have Manager in your job title. You may be an experienced Senior Administration Officer, Senior Medical Receptionist, Practice Coordinator, Administration Team Leader or healthcare administrator who is ready for greater responsibility and the opportunity to step into formal leadership.

What you’ll be doing
As Administration Manager, you’ll provide hands-on leadership and day-to-day support to the Administration team while working closely with the broader radiation oncology team to keep the service running smoothly.
  • Lead, coach and support the Administration team day to day, including onboarding, training and ongoing skill development.
  • Coordinate patient intake, appointments, referrals, reception and front-of-house workflows.
  • Work closely with radiation oncologists, radiation therapists, nursing, centre leadership and other stakeholders to support timely and coordinated patient care.
  • Remain connected to the frontline and step in to assist the team during busy periods, changing priorities or unexpected issues.
  • Support accurate Medicare and private billing processes, including referral requirements and the appropriate use of relevant MBS item numbers.
  • Ensure patient records and administrative documentation are accurate, complete and managed in accordance with privacy requirements.
  • Help the team navigate new systems, processes and changing operational requirements confidently.
  • Identify practical opportunities to simplify workflows, improve consistency and strengthen the patient experience.
  • Build a collaborative culture where people communicate openly, share feedback, help one another and feel confident asking questions.
  • Provide patients and families with a warm, professional and compassionate experience throughout their care.
About you
You might already be an Administration Manager – or you might be the experienced senior administrator everyone turns to when something needs sorting out.

Perhaps you’ve spent several years in medical reception or healthcare administration, regularly help newer team members, understand how to keep a busy clinic organised and are now wondering what the next step in your career could look like.

We’re interested in leadership potential as much as leadership titles.
You’ll ideally bring:
  • Experience in healthcare administration, medical reception, specialist practice administration or another busy patient-facing healthcare environment.
  • Strong administration fundamentals and excellent attention to detail.
  • Experience coordinating, mentoring, training or informally supporting other team members. Formal management experience is welcomed, but not essential.
  • The ability to remain calm, organised and responsive when priorities change.
  • Strong time-management skills and the ability to coordinate competing workloads.
  • Confidence learning new systems, processes and workflows, with good general computer skills including Excel, Word and Outlook.
  • Experience with Medicare, MBS item numbers, referrals or medical billing would be advantageous, although we can support the right person to develop further in these areas.
  • A warm and professional communication style, with the ability to build trusted relationships with patients, families, doctors and colleagues.
  • A practical continuous-improvement mindset and the confidence to identify when something could work better.
  • A genuine interest in helping other people develop and creating a positive, supportive team environment.
A Certificate IV in Training and Assessment would be favourable but is not essential.
