About the Role:
Step into a role where your administrative expertise directly supports patients through one of the most important journeys of their lives. As an Administration Officer – Practice Management, you’ll be the go-to person for coordinating appointments, managing referrals, and ensuring smooth day-to-day operations across our specialist services.

This isn’t just about managing tasks — it’s about creating a calm, organised experience for patients and families navigating cancer treatment. You’ll work across our surgical practice management department, liaising with internal teams and external providers to deliver seamless, compassionate care.

Key Responsibilities:
  • Warmly welcome patients and manage their administrative needs
  • Coordinate and schedule critical treatment appointments
  • Manage and triage referrals for clinics and surgery.
  • Answer patient queries with empathy, both in person and over the phone
  • Ensure accurate billing and manage daily financial transactions
  • Track patient progress through their treatment, making sure administrative needs are handled smoothly
  • Maintain organised, up-to-date patient records
  • Be familiar with medical terminology and health claims processes, including Medicare, Private Health Insurance, and DVA

Is this you?
We're looking for a proactive, compassionate individual with a passion for medical administration. Your attention to detail and ability to thrive in a fast-paced environment will be essential. Experience in a medical setting is preferred, along with strong communication skills and a commitment to exceptional patient care.

Our ideal candidate will meet the following key selection criteria:
  • Previous experience in a hospital, medical practice, or day procedure reception (electronic practice management systems experience highly desirable – Gentu and/or Genie)
  • Strong understanding of medical reception and inpatient services
  • Ability to manage time efficiently, work independently, and collaborate with a team
  • Excellent communication and problem-solving skills, especially in sensitive situations
  • Competence with Windows-based programs such as Email and Word
  • Basic knowledge of medical billing and health insurance claims (Medicare, Private Health Insurance, and DVA)
