As our Booking Coordinator, you will play a vital part in ensuring every patient’s journey is seamless and well‑supported. You will be the organisational anchor of our day hospital, coordinating complex schedules, anticipating next steps, and keeping patients, whānau, and clinicians well‑informed.
  
This role suits someone who brings initiative, intelligence, and a calm, solutions‑focused approach to a busy clinical environment.

Key Responsibilities
  • Coordinate oncology appointments, treatment sessions, follow‑ups, and daily treatment room schedules
  • Work closely with doctors, Clinical Leaders, and the broader multidisciplinary team to maintain smooth service flow
  • Liaise with private health insurers to complete eligibility checks and pre‑authorisations
  • Provide clear, compassionate communication to patients and whānau while maintaining accurate clinical and administrative records
  • Support reporting and quality initiatives, contributing to a positive, patient‑centred administrative environment  
About you
You will thrive in this role if you bring:
  • Previous experience coordinating bookings or scheduling within a healthcare setting (essential)
  • High levels of initiative, sound judgement, and the ability to anticipate needs before they arise
  • A strong work ethic and the ability to stay organised and composed in a fast‑moving environment
  • Excellent people skills, empathy, and professionalism in all patient and team interactions
  • Confidence working with systems, multitasking, and managing details accurately
  • An understanding of private health insurance and funding processes (or the ability to learn quickly)

The Bowen Icon Cancer Centre is a joint venture between Evolution Healthcare and Icon Group, established in 2017. The centre provides integrated, non-surgical cancer treatments in an outpatient setting, operating Monday to Friday (8am–6pm) with flexibility for after-hours treatment when required. Each year, approximately 900 new patients receive care across three medical specialties: Medical Oncology, Radiation Oncology, and Clinical Haematology, including consultation, treatment, and supportive care. Located within the Bowen Specialist Centre in Wellington, the purpose-built facility features:
  • A radiation treatment suite with a linear accelerator, CT scanner, and advanced planning technology
  • A day hospital with seven systemic treatment spaces
  • Six outpatient consulting rooms
The multidisciplinary team includes medical specialists, nurses, radiation therapists, medical physicists, administration staff, clinical trials coordinators, and management. The centre also maintains close relationships with independent providers of supportive care services.
