About the role:
We are seeking a highly organized and detail-oriented individual to join our Chermside centre as a Patient Admissions/Medical Records Officer/Medical Secretary. In this role, you will play a vital part in managing and verifying patient information, ensuring accurate and timely referrals to Medical Specialists and seamless admissions to the centre. This is a full-time position, working 76 hours per fortnight, Monday to Friday, during our centre's operating hours. You will report directly to the Administration Manager and be an integral part of our administrative team.
  
Key Responsibilities:

Patient Admissions:
  • Performing health fund checks prior to patient admission, discussing any costs / gap payments / co-payments
  • Facilitate the Patient Admission paperwork
  • Confirm financial responsibility for all admissions
  • Liaise with health insurance fund customer service personnel to verify health insurance status
  • Communicate clearly with patients and their families to ensure all patients are well informed of financial costs related to admissions 
Medical Records:
  • Efficiently scan and organize patient correspondence into electronic records
  • Retrieve and distribute medical records for inpatient admissions and appointments
  • Sort and file medical records within filing bays or compactus units
  • Maintain record registers and create new treatment plans and charts
  • Assist in culling records for secondary storage
Medical Secretary:
  • Welcoming patients, collecting and entering personal details, completing admissions paperwork with health fund checks
  • Scheduling/organising patient appointments, organise day lists for consultant
  • Prep consult rooms for each clinical session
  • Answering telephone calls and responding to enquiries
  • Oversee wait room and respond to patient queries
  • Discharge procedures and paperwork
  • Ad-hoc administration/correspondence duties
Skills & Experience:
  • Administration or Medical Receptionist Qualification (preferred but not essential)
  • 12 months relevant professional medical / hospital administration experience with Medicare, DVA and Private Health Insurance funds (preferred but not essential)
  • Exceptional communication and customer service skills
  • Professional, efficient and friendly manner both over-the-phone and face-to-face
  • Outstanding team member qualities including willing to support your colleagues and positive attitude.
  • Excellent organisational and time management skills.
  • Ability to work in fast-paced environment
  • Flexibility and adaptability to complete various administration tasks
  • Ability to work efficiently with attention to detail
  • Proficient use of Microsoft Office applications
