Medical Administration Officer/Team Leader


We’re looking for an Administration Officer to join our Radiation Oncology Centre in Maitland. For the right candidate, this position also offers an immediate opportunity to step into a Team Leader role. If you are developing toward leadership but not quite there yet, you can join at the appropriate pay point and progress into the team leader position as you build the required skills.

About the Role
We have a new opportunity for a Medical Administration Officer to join our team at the Icon Cancer Centre Maitland. This permanent, part-time role provides administration, secretarial and reception support for the radiation oncology unit. You will ensure accurate appointment bookings, correct billing, timely processing of paperwork and a welcoming patient experience.
  
Leadership Opportunity
Because we operate multiple outreach clinics and our administrative leaders are often working remotely, we are seeking someone who can support centre operations across sites. For the right candidate, this role includes:  
  • Stepping into the Team Leader position (Mon to Wed 8 am to 5 pm)
  • Managing day-to-day admin workflow in collaboration with the Admin Manager
  • Completing billings, rosters and other tasks when the manager is working remotely
  • Attending outreach clinics as required
  • Assisting with leave cover and providing occasional Thursday and Friday coverage  
If you bring relevant experience or qualifications, you can transition into the team leader position immediately. If you are developing toward leadership, we will support you to grow into the role.
  
Key Responsibilities
  • Welcoming patients, collecting and entering personal details
  • Scheduling appointments
  • Answering telephone calls and responding to enquiries
  • Fee discussions and processing patient billing
  • Monitoring and assessing the administration care path of all patients
  • Maintaining and managing patient information
  • Supporting Icon’s WHS Officers and committees
  • Modelling and promoting Icon’s vision and values
  • Liaising directly with our oncologists  
About You
  • High attention to detail
  • The ability to work autonomously without supervision
  • Experience in a similar role within a day hospital/specialist setting desirable
  • Driver licence (ability to travel between our Maitland centre and outreach clinics)
  • Experience with Medicare, DVA and Private Health Insurance desirable
  • Excellent organisational and time management skills
  • Clear verbal and written communication skills
  • Competence in Word and Excel
  • Commitment to delivering excellent client service
  • Basic knowledge of medical terminology
  • The ability to manage multiple software platforms
