Icon Group are a leading provider of private day hospital and pharmacy services in Australia. Due to domestic and international expansion, the Icon ePMO (Enterprise Project Management Office) department have a demand for an experienced Project Administrator with an eye for accounts to join the team. 
Our project roadmap includes the construction, fit-out and stocking of multiple new cancer treatment centres; the projects teams exist to ensure we have everything we need to provide quality cancer treatment to our patients from opening day onwards. We currently have 36 treatment centres across Australia, and centres in New Zealand, Singapore, Mainland China, Hong Kong & Vietnam; we’re building new centres across various locations as we experience continued rapid growth.

The project administrator role is based in Icon’s head office in South Brisbane and is designed to assist the greater project management team with the general and financial administration relating to various procurement, cost control, purchasing, reporting and documentation functions. This role is a permanent, full-time position within a department that highly values internal career development.

Key responsibilities and activities
  • Accounts Functions– Coordinate purchase orders, invoicing and payments to various vendors/suppliers.
  • Financial Record Keeping/Document Control – Maintain an up-to-date project finance calendar with milestone tracking and control various documents in an organised system.
  • Cost Control & Quality Analysis– Ensuring project items meet strict quality guidelines for the best commercial price with on-time delivery
  • Various Project Administration – Assist in preparation of board and project reports, diary management, oversee provision of deliverables throughout projects, other general administrative duties including preparation of correspondences, filing, scanning and photocopying as required
  • Procurement/Purchasing of Project Items– Liaising with suppliers to obtain quotes, raise PO’s and coordinate logistics for the timely delivery of construction and various fit-out materials and medical supplies required for our new cancer treatment centres.

Our ideal candidate: 
  • Experience liaising with vendors in a procurement role with deadlines, quality parameters and budget constraints
  • General accounts and finance experience
  • Experience with electronic document control and purchasing systems
  • Ability to manage against project timelines to collate contract and financial information
  • Proven experience in a similar role/s or health background would be advantageous
  • Attention to detail and accuracy
  • Good time management skills
  • Ability to prioritise and follow up
  • Good written and verbal communication skills
  • Computer skills (Desirable: MS Project On-line, MS Word, Power-BI, Microsoft Dynamics 365 and MS Excel, SharePoint)
